DESCRIPTION OF ACTIVITY/SERVICE
Background
AKADEMIYA2063, an international non-profit organization, headquartered in Kigali, Rwanda with a regional office in Dakar, Senegal, was established in January 2020. AKADEMIYA2063’s overall mission is to create across Africa state-of-the art technical capacities to support the efforts by the Member States of the African Union to achieve the key goals of the agenda 2063 of transforming national economies to boost growth and prosperity. The main goal of AKADEMIYA2063 is to help meet the needs of African countries in terms of data, analytics, and mutual learning for the effective implementation of Agenda 2063 and the realization of its outcomes by a critical mass of member states. It works to help deliver the expertise we need for the Africa we want.
CRITERIA FOR SELECTION
AKADEMIYA2063 invites interested professional cleaning companies operating in Rwanda to submit their financial proposal for offering cleaning & gardening services and supply related materials at its headquarters located in Kigali, at the following address: City of Kigali, Kicukiro/Niboye KK 341 St 22.
(a) Notes
- Apart from financial proposal, the bidder should submit trading license from Rwanda Development Board (RDB) with at least 3 years’ experience in similar activities, valid tax clearance from Rwanda Revenue Authority (RRA) and Rwanda Social Security Board (RSSB)
- Submit a summarized company profile that should contain a list of at least five (5) reputable organizations where the firm provides similar services.
- The bidder should present at least three (3) recommendation letters and/or completion certificates from reputable institutions to substantiate its competency.
- The bidder should also submit a list and photos of cleaning & gardening supplies/materials that they intend to use.
- It is advisable that each prospective bidder undertakes a site visit at our offices. We have scheduled site visits for Tuesday, April 30th 2024 and Thursday, May 2nd 2024 from 10am to 4pm.
- The bidder’s monthly cost of all the services will include provision of cleaning & gardening materials, deployment of appropriate equipment, and labor fees.
- All the quotations and related supporting documents should be submitted in one combined document (PDF Format) with the following subject heading: “A2063RW04/2024 cleaning with gardening services’’, and submitted to procurement.RW@akademiya2063.org
- Bids or quotations missing the required information will be excluded from the evaluation process.
- The successful bidder will be notified in writing. Communication to unsuccessful bidders will be at the sole discretion of AKADEMIYA2063.
(b) Other Importance notes
AKADEMIYA2063 will provide space to store cleaning materials; a one-year renewable contract will be signed between a cleaning company and AKADEMIYA2063.
- The contractor company will be responsible to deduct and pay for each employee, pension contributions and maternity leave contribution to Rwanda Social Security Board (RSSB), Pay as You Earn (PAYE) to RRA as well as any employment taxes as appropriate,
- The contractor company is expected to avail two permanent cleaners from Monday to Friday, one cleaner on weekends and public holidays. In addition, one supervisor should be assigned and should visit at least 2 times a week.
- The contractor is expected to submit a monthly EBM invoice to facilitate the processing of payments.
- Deep cleaning and fumigation should be done quarterly.
- The proposal should be submitted on or before May 06th, 2024 at 6pm. Late submissions will be excluded from the evaluation process.
