JOB DESCRIPTION: ACCOUNTS OFFICER
SUMMARY
Responsible for day to day accounting functions of Auto Xpress Rwanda secretariat office in ensuring efficient management of financial transactions and reporting. This function will be executed by supporting accuracy and timely processing of payments, proper documentation & timely reporting, Cash management, Advances/receivables management, support to finance and non-finance personnel and ensure adherence to policies and procedures.
REPORTS TO: General Manager
Essential Duties & Responsibilities
- Ensure adherence to Auto Xpress policies and procedures and Headquarters requirements.
- Review invoices, payment Vouchers, receipt book entries and all associated supporting documents for accuracy and consistency.
- Ensure timely processing of staff/vendors invoices and proper documentation of all financial transactions.
- Maintain a cash advance register and ensure weekly submission of accountabilities and cash refund journals to management.
- Maintain a daily cash register and ensure timely recording/deposit of cash received, timely withdrawal of cash, reconcile bank deposit slip with the receipt record & agreements
- Follow up on staff Advances and update management on the status of staff advances positions on a regular basis.
- Support finance and non-finance staff on financial management in line with the Auto Xpress financial policies and procedures as well as generally acceptable practices.
- Coordinate and participate in annual external audit, and follow up on all issues raised in the management letter.
- Ensure adequate segregation of duties as per Auto Xpress regional policy/Manual & maintain a professional customer care approach in interacting with colleagues and vendors.
- Any other duty as assigned by the Supervisor.
Supervisory Responsibilities
Provide leadership and supervision to any Accounts staff as directed by the supervisor.
EDUCATION AND EXPERIENCE
- Education: University degree in Business majoring in Accounting.
- Experience: Minimum of 1 year relevant working experience
- Demonstrable knowledge/understanding of donor financial/accounting procedures and clear understanding of
- Excellent computer skills ESP. Excel spreadsheets and Ms Word.
- Experience and knowledge in usage of any Accounting software is an added advantage.
COMMUNICATION ABILITIES
- Ability to read, analyze and interpret financial documents.
- Capability of report writing, prompt and effective communication are ideal, good communication and interpersonal skills, strong initiative
MATHEMATICAL SKILLS
Ability to add, subtracts, multiply, and divides in all units of measure, using whole numbers, common fractions, and decimals. Working knowledge of accounts and reconciliation is imperative.
