Office Manager-Job Description
We are looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.
What you will do and not limited to:
• Respond to internal and external emails and other forms of correspondence;
• Organize the office layout, order stationery and equipment;
• Maintain the office condition and arrange necessary repairs;
• Partner with HR to update, and maintain office policies as necessary and prepare payroll-required documentation;
• Organize office operations, office equipment, and necessary procedures;
• Ensure that all items are invoiced, paid on time and manage/track budget expenses;
• Manage contract and price negotiations with office vendors, service providers and office lease;
• Coordinate office activities/operations to secure efficiency and compliance with company policies;
• Manage office budget, and ensure accurate and timely reporting
• Welcome clients, business partners and other visitors;
• Coordinate necessary domestic and international travel, including flight, hotel, and car rental reservations;
• Assist in the onboarding process for new hires and supervise/train the office attendant;
• Liaise with facility management vendors, including cleaning, catering, and security services;
• Plan in-house or off-site activities, like parties, celebrations, and conferences.
The requirements for the role:
• Bachelor’s degree in Business Administration, Law, International Relations, or related field;
• of 3 years experience in a similar role, within a Law Firm, is an added value;
• Knowledge of Office Administrator responsibilities, systems, and procedures;
• Excellent written and verbal communication skills;
• Strong organizational and planning skills in a fast-paced environment;
• A creative mind with the ability to suggest improvements;
• Attention to detail and problem-solving skills;
• Proficiency in office automation (Microsoft Suite and Outlook) and CRM Tools;
• Fluency in English, French and Kinyarwanda. • Bachelor’s degree in Business Administration, Law, International Relations, or related field;">
