REQUEST FOR PROPOSAL (RFP)

As part of its work, the World Health Organization (WHO) undertakes jointly with Member States and other specialized UN Agencies, a variety of health projects for which equipment and supplies are provided free of charge by the Organization. Purchases of such material are non-commercial and international in character, as the products in question are for use in health Program mainly in developing countries or in the offices of the Organization itself.

We are pleased to invite you to participate in the tender with the attached technical specifications entitled as follows:

 TECHNICAL SPECIFICATIONS FOR INFRASTRUCTURE AND SYSTEM IMPLEMENTATION OF THE NATIONAL EHR AT RUHANGO HEALTH CENTER.

NOTE:

The quotation must include the supply of items, installation and configuration at the RUHANGO Health Center. A site visit is required to assess the place and determine any additional accessories needed for the installation.

YOUR AVAILABILITY FOR SITE VISIT:

By replying to this tender and before submitting your offer kindly let us know your time slot on 26th May 2025 between 09:00 AM and 15:00 PM for site visit.

The Information which the bidder considers confidential, if any, should be clearly marked as such.

The Proposal shall be marked or entitled: “RFP/02/05/2025/M&E for INFRASTRUCTURE AND SYSTEM IMPLEMENTATION OF THE NATIONAL EHR AT RUHANGO HEALTH CENTER” and be signed by a person duly authorized to represent the bidder, to submit a proposal and to bind the bidder to the terms of this RFP.

Any proposal received by WHO after the closing date will not be considered. 

Important note: WHO will only accept offers responding to the following:

1. Attached specifications.
2. The Company’s quotation, on official letterhead.
3. Any other relevant document, as appropriate.

The following information must be included in your quotation:

1. Acceptance of WHO PURCHASE ORDER (PO).
2. Complete technical specifications for item offered.
3. Item catalogue number (if applicable);
4. Product Brand Name, name of manufacturer and website.
5. Minimum shelf-life, expressed in months, (if applicable);
6. Prices should include the VAT information (if applicable) with FCA incoterm.
7. The quote shall clearly indicate the net amount, VAT amount and Total amount. In case items are exempted in Country, please mention it.
8. Delivery time
9. Validity of the quote.
10. Country of origin of the items quoted.
11. Storage requirements (if applicable);

Details in respect of installation and warranty

Kindly be advised that offers will not be viewed /opened until the deadline for submission has elapsed.

The quoted price must be valid for a period of at least 3 months from the day of quotation.

WHO`s Financial Rules and Regulations require the implementation of a 30-day payment policy, and no advance payment can be envisaged.
