Tender Document: Supply of Office Chairs

Introduction:

The New Times Publications Ltd is inviting eligible suppliers to tender for the supply of 70 office chairs. This tender document provides information about the requirements, evaluation criteria, and submission process. Tender Requirements:

2.1 Quantity: The New Times Publications Ltd requires the supply of 70 Medium back fabric office chairs.

The chairs should be of high quality, durable, and medium back ergonomically designed to ensure comfort for the employees.

2.2 Specifications:

The chairs should have adjustable height and backrest.

The chairs should have a swivel feature for easy movement.

The chairs should have sufficient padding and lumbar support.

The chairs should be made of durable materials with a professional appearance.

The chairs should have a warranty period of at least two years.

2.3 Delivery:

The delivery location for the office chairs will be at The New Times Publications Ltd's office premises, at M&M Plaza 2nd Floor at KG8 Gishushu Remera Gasab District.

Tender Evaluation Criteria:

• Tender Submission: The evaluation of the submitted tenders will be based on the following criteria:

Compliance with the specifications and requirements stated in this document.

Quality and durability of the office chairs.

Price competitiveness.

Warranty offered by the supplier.

• Supplier's track record and experience in delivering similar products.
• Delivery timeline.

4.1 Deadline and Tender Opening: The deadline for tender submissions is 17th November 2023 at 11 am. Late submissions will not be accepted. This will be followed by a subsequent public Opening of the Documents at 11:30 the same day

4.2 Submission Format:

Suppliers should submit their tenders in a sealed envelope, clearly marked with "Office Chair Tender" and the supplier's name and contact information. The tender should include the following:

1. A cover letter expressing the supplier's interest in the tender.

2. Detailed product specifications and pricing for the 70 office chairs.

3. Information on warranty terms and conditions.

4. Relevant certifications or quality assurance documentation.

5. Supplier's company profile and track record.

6. Certificate of Incorporation

7. RRA Clearance Certificate

4.3 Address for Submission:

Any inquiries or requests for clarifications regarding this tender should be submitted in writing or by email to amunyaneza@newtimesrwnda.com the designated contact person no later than 1th November, 2023. The New Times Publications Ltd will provide responses to the inquiries promptly.

Acceptance of Tender:

The New Times Publications Ltd reserves the right to accept or reject any tender received without providing reasons for its decision. The decision will be communicated to the selected supplier in writing.

Confidentiality: All information provided in the tender submission should be treated as confidential and should not be shared with third parties without prior written consent from The New Times Publications Ltd.

Terms and Conditions:

The terms and conditions for this tender are outlined in the accompanying contract, which will be signed between the selected supplier and The New Times Publications Ltd upon acceptance of the tender.
