ASSIGNMENT DESCRIPTION

The company’s main assignment is to supply and install office furniture (workstation desks and office chairs) at Rwanda Finance Limited.

The contracted company shall:

• Supply and install 2 workstation desks (4-ways).
• 1 workstation desks (2-ways).
• 10 office chairs.
• 1 Standard Particle Board File Cabinet (Color: Wenge, Size: 900X450X2000, Material: Particle Board).
• Be insured for any damages caused to office furniture and installations due to activities related to the assignment.
• Be responsible for any damages caused due to negligence or unprofessionalism.
• Visit Rwanda Finance limited offices for a detailed feasibility study. This will be helpful in having an idea of what is needed to successfully undertake this assignment.
• 10 Office Chair: High-Back Mesh, Orthopedic Chair with adjustable height and armrest five castor fiber base on wheel;
• 2 Workstation desk: 4-ways workstation desk;
• 1 Workstation desk: 2-ways workstation desk;
• 1 Standard Particle Board File Cabinet (Color: Wenge, Size: 900X450X2000, Material: Particle Board);

• Experience related to the assignment with at least three (3) years of experience in supplying and installing office furniture.
• Certificate of Completion from 5 public or private institutions in which the bidder has successfully completed the same activities.

SCOPE OF WORK AND EXPECTED DELIVERABLES

The company shall supply and install two (2) workstation desks (4-ways), 1 workstation desk (2-ways), 10 chairs and 1 standard particle board file cabinet with a guaranty for a one (1) year period after the supply and installation of the office furniture.

FIRM QUALIFICATION AND EXPERIENCE

The assignment will be undertaken by a company that meets the following criteria:

REPORTING LINE

The company will report to the Finance & Administration department.

ADMINISTRATIVE DOCUMENTS TO BE SUBMITTED

• Letter of Interest addressed to the CEO, Rwanda Finance Limited.
• Valid Tax Clearance Certificate.
• Copy of Certificate of Incorporation.
• Notified Power of Attorney; if the person signing is different from the one on the certificate of incorporation.

TECHNICAL EVALUATION

Technical proposal will be based on the following criteria:

The interested company should provide a financial proposal with itemized prices (basing on the list of items in the annex).

BIDDER’S AGREEMENT WITH TERMS AND CONDITIONS

The completion of all tender requirements must be in accordance with the instructions contained in this tender document. Submission to Rwanda Finance Ltd of the technical and financial proposals will constitute an offer and indicates the bidder’s agreement to the terms and conditions set forth in this tender document. Rwanda Finance Ltd is not required to accept and/or evaluate proposals that do not conform to the instructions of this tender document and, in addition, Rwanda Finance Ltd may reject all proposals and not make an award. Rwanda Finance Ltd reserves the right to make an award without discussion and/or negotiation; however, Rwanda Finance Ltd also reserves the right to conduct discussions and/or negotiations, which among other things may require the bidder to revise its proposal (technical and/or financial). By submitting an offer, bidders agree to comply with the general terms and conditions for an award, including Representations and Certifications compliance. Bidders must provide full, accurate, and complete information in response to this solicitation. By submitting an offer, bidders certify that they have not and will not attempt to bribe or make any payment to Rwanda Finance Ltd employees in return for preference.

Issuance of this tender document in no way obligates Rwanda Finance Ltd to render an award, nor does it commit Rwanda Finance Ltd to pay any costs incurred by the bidder to prepare and submit a proposal. Rwanda Finance Ltd reserves the right to award a contract to one bidder or to issue multiple awards based on the results of our evaluation.
