REQUEST FOR QUOTATION

1. Background

Africa Development Consultant Ltd (ADC), a consultancy firm registered with Rwanda Development Board (RDB) located at Remera sector (Kisimenti), KN 5 Rd House no 44 (Tedeum Building), has activities in all districts of Rwanda and is hereby inviting for quotation from all eligible hotels to bid for the services below.

2. Scope of Tender

This tender intends to look for interested hotels in Eastern, Southern, Northern and Western Provinces to host staff, and stakeholders’ meetings, trainings other events to be organized by ADC

3. General conditions for the proposals

• Criteria of eligibility for bidders . To be eligible, any bidder interested to apply for this tender has to fulfill the following conditions:
• Being a legally registered company or society and authorized to provide hotel services/RDB certificate
• Valid Tax Clearance
• Having the proven experience in hotel services provision
• The company must use EBM (Electronic Billing Machine) for all invoices to be paid
• Have guaranty of space for 20 to 150 participants (meeting rooms)
• Have enough and secured parking for official vehicles and other attendees
• Be favorable (calm) for resting
• Be favorable for participants in terms of easy access to the main road, car park or bus station
• Category: 2 to 4 stars Hotel and Centre d’accueil.
• Being able to proved the following: Accommondation, conference rooms (describe the capacity, tea break, lunch, dinner, mineral water, notebooks, pens, projector, sound system and strong internet)

Financial proposal

The financial proposal (quotations) shall be provided using the following table as detailed below:

Contract and payments

The contract content and payment arrangements will be negotiated with the bid winner. The invoices shall be in RWF and based on specific services provided in respect of contract signed related to this tender.

Contract duration and renewal

This tender is for a period of 12 months renewable depending on availability of funds and satisfactory performance.

Bidding documents to be submitted by email to  info@adcrwanda.org and shall be addressed to ADC before the deadline is June 28, 2024, at 17:00 hrs.
