Assignment Description
The firm’s main assignment is to supply and install wall mounted air conditioners for Rwanda Finance Limited office.
The contracted firm shall:
• Supply and install 5 wall mounted air conditioners.
• Provide all needed good quality accessories and parts to have the air conditioners installed successfully.
• Provide a qualified team to undertake the assignment.
• Be insured for any damages caused to office equipment and installations due to activities related to the assignment.
• Be responsible for any damages caused due to negligence or unprofessionalism.
• Visit the Rwanda Finance limited office for a detailed feasibility study. This will be helpful in having an idea of what is needed to successfully undertake this assignment.

Scope Of Work And Expected Deliverables
The contractor shall supply and install five (5) wall mounted air conditioners and provide free support and maintenance service for the supplied equipment and a guaranty for a one (1) year period after the delivery and installation of the equipment.
• Successfully supplied, installed properly functioning Air conditioners for Rwanda Finance Limited office.
• Submitted developed manuals with detailed showing map showing piping and electrical installations of the performed work.
• Supplied Equipment well maintained with detailed report on quarterly basis.

Indicative Work Methodology And Timeline
The firm is required to provide a clear methodology and approach in carrying out this assignment. The firm is required to demonstrate relevant knowledge and skills warranting that the firm’s team will be able to implement this project successfully. Firm Qualification And Experience
The assignment will be undertaken by a firm that meets the following criteria:
• Provide CVs of technicians and engineers with proven experience in Air conditioners installation and maintenance, Electricity, and copper piping.
• Certificate of Completion from 3 public or private institutions in which the bidder has successfully completed the same activities with contact of officer in charge.
• Accreditation from the manufacturer or a representation certificate of the supplied brand of equipment will be a plus to consider.
Reporting Line
The firm / company will report to the Chief Finance Officer and IT Manager.

Administrative Documents
• Letter of Interest addressed to the CEO, Rwanda Finance Limited.
• Valid Tax Clearance Certificate.
• Copy of Certificate of Incorporation.
• Complete full address and contacts (websites, telephone number, physical office, and fax).
• Notified Power of Attorney; if the person signing is different from the one on the certificate of incorporation.
• Notified copy of certificate of membership to a professional body; if any.

Technical Evaluation
The following criteria will be used for the evaluation of the bids:
Qualifications relevant to the assignment with at least two (2) years of experience in A/C related services and engineering services in general

Experience related to the assignment with at least 3 recommendations of completion of similar services from re-known organizations

Firm’s Agreement With Terms And Conditions
The completion of all RFP requirements must be in accordance with the instructions contained in this RFP. Submission to Rwanda Finance Ltd of the technical and financial proposals will constitute an offer and indicates the firm’s agreement to the terms and conditions set forth in this RFP. Rwanda Finance Ltd is not required to accept and/or evaluate proposals that do not conform to the instructions of this RFP and, in addition, Rwanda Finance Ltd may reject all proposals and not make an award. Rwanda Finance Ltd reserves the right to make an award without discussion and/or negotiation; however, Rwanda Finance Ltd also reserves the right to conduct discussions and/or negotiations, which among other things may require the firm to revise its proposal (technical and/or financial). By submitting an offer, firms agree to comply with the general terms and conditions for an award, including Representations and Certifications compliance. Firms must provide full, accurate, and complete information in response to this solicitation. By submitting an offer, firms certify that they have not and will not attempt to bribe or make any payment to Rwanda Finance Ltd employees in return for preference.
Issuance of this RFP in no way obligates Rwanda Finance Ltd to render an award, nor does it commit Rwanda Finance Ltd to pay any costs incurred by the firm to prepare and submit a proposal. Rwanda Finance Ltd reserves the right to award a contract to one firm or to issue multiple awards based on the results of our evaluation.
